AstraMedia (“we,” “our,” or “us”) values your privacy. This Privacy Policy explains how we collect, use, store, process, and share information, including Google user data, when you use our services. By using our services, you agree to the terms described here.

Information Collection

We may collect the following types of information:

  • Personal Information you provide directly: such as your name, email address, company information, or other contact details.
  • Usage Information: such as website activity, interactions with our services, feature usage, browser type, device information, IP address, and similar technical information.
  • Google User Data: if you sign in with your Google account or connect AstraMedia to Google services, we may access Google user data that you explicitly authorize, including your Google account profile information and Gmail data as described below.
  • User-Created Content: such as email drafts, responses, workflows, notes, contact records, campaign content, and other materials created, edited, or saved by you within AstraMedia.

Google Gmail Data

If you choose to connect your Gmail account to AstraMedia, AstraMedia may access Gmail data only after you explicitly authorize access through Google's OAuth consent process.

Depending on the permissions you grant, AstraMedia may access Gmail message content, message metadata, sender and recipient information, subject lines, timestamps, labels, attachments, drafts, and related Gmail information.

Gmail attachments are accessed only when necessary for user-requested functionality and are not permanently stored unless the user intentionally saves, uploads, or incorporates the attachment content into AstraMedia.

AstraMedia uses Gmail data only to provide Gmail-related features requested by you, such as reading relevant emails, summarizing email content, generating draft responses, creating drafts, sending emails, applying labels, updating message status, organizing messages, archiving messages, or performing other user-requested mailbox actions.

AstraMedia may modify Gmail messages only to perform user-requested actions, such as applying or removing labels, marking messages as read or unread, archiving messages, or updating draft-related message state.

AstraMedia will not send emails from your Gmail account unless you intentionally initiate or approve that action within the product.

Use of Information

We use the information we collect to:

  • Provide, operate, maintain, and improve our services.
  • Personalize your experience.
  • Provide AI-powered productivity, email, drafting, summarization, workflow, and media outreach features.
  • Communicate with you, including sending updates and responding to inquiries.
  • Ensure security, prevent abuse, debug issues, and comply with legal obligations.

AI Processing of User Data

AstraMedia uses artificial intelligence systems to provide user-requested functionality such as drafting, summarization, email assistance, workflow automation, contact research, and other productivity features.

User content and Google user data may be processed by AI systems solely to provide the functionality requested by the user.

AstraMedia does not use Google Workspace API data, Gmail data, Google account data, or other Google user data obtained through Google APIs to develop, improve, or train generalized artificial intelligence or machine learning models.

Google user data is not used for advertising, behavioral profiling, or any purpose unrelated to providing the functionality requested by the user.

Google API Services User Data Policy

AstraMedia's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data Storage and Retention

AstraMedia stores personal information and user-created content only as long as necessary to provide our services, maintain user accounts, comply with legal obligations, resolve disputes, and enforce agreements.

AstraMedia accesses Gmail data only as necessary to provide user-requested functionality. AstraMedia does not permanently store the contents of users' Gmail messages unless the content is intentionally created, edited, saved, or otherwise generated by the user within AstraMedia.

Email drafts, responses, workflow outputs, notes, and other content created within AstraMedia may be stored to provide ongoing functionality and user access.

Gmail message content retrieved through Google APIs is retained only for the duration necessary to perform the requested functionality and is not maintained as a permanent copy of the user's mailbox.

You may request deletion of your data at any time by contacting us at contact@astramedia.app.

Data Sharing

We do not sell or rent your personal information or Google user data to third parties.

We may share information only in the following limited circumstances:

  • With trusted service providers that help us operate, host, secure, and support AstraMedia.
  • When required by law, legal process, or governmental request.
  • To protect the rights, property, safety, or security of AstraMedia, our users, or others.
  • As necessary to provide functionality that you explicitly authorize.

Google user data is never shared with third parties except as necessary to provide explicitly authorized functionality, comply with applicable law, or protect users and services.

Third-Party Service Providers

AstraMedia may use trusted third-party service providers to operate and support its services, including hosting providers, cloud infrastructure providers, database providers, analytics providers, security providers, and artificial intelligence service providers.

Artificial intelligence service providers may process user content and Google user data only to provide requested functionality on AstraMedia’s behalf and not to train generalized AI or machine learning models.

These providers may process information only as necessary to perform services on our behalf and are required to protect the confidentiality and security of the information they process.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information and Google user data from unauthorized access, disclosure, alteration, or destruction.

These safeguards may include access controls, encryption, secure token storage, monitoring, and other measures appropriate to the nature of the data we process.

In-Product Privacy Notifications

We provide in-product privacy notices to explain how data is used, particularly for sensitive data such as Gmail data and other Google user data. These notices are designed to be clear, timely, and prominent at the point of data access or use.

User Control

  • You can revoke AstraMedia's access to your Google account at any time from your Google Account permissions page.
  • You may request access to, correction of, or deletion of your data by contacting us.
  • You may disconnect Google integrations where supported within the AstraMedia product.

Changes to Data Practices

If we change how we use Google user data or personal data, we will:

  • Provide clear and prominent notice within the product or through another appropriate channel.
  • Update this Privacy Policy.
  • Prompt users to review and consent before materially different data practices take effect where required.

International Data Transfers

Your information may be processed and stored in countries where AstraMedia or its service providers operate. These countries may have data protection laws that differ from those in your jurisdiction.

Children's Privacy

AstraMedia is not intended for children under 13 years of age, and we do not knowingly collect personal information from children.
